To be a point of contact for patients and act as a focal point of communication between patient's and the Specialist, as well as be responsible for the day to day administration and coordination of patient referrals to the specialist in an efficient and professional manner.
•Compile weekly and monthly presentation for the Marketing Manager and Hospital Manager, showing the total number of patients seen by the Specialist, total number of patients admitted, patient complaints including graphical metrics of all key patients’ statistics.
•Ensure that patient pre-admission forms are completed, and authorization code is obtained prior to admission.
•Constantly keep the Specialist informed of patients who are in waiting to ensure minimal patient waiting time. Monitor flow of patients.
•Liaise with the Marketing Manager to arrange marketing events for the Specialist.
•Keep daily records of the following: Patient/doctor appointments; Referring GPs to the Specialist: Walk-in patients; Patient 1st time visits and follow up visits.
•Conduct patient’s satisfaction surveys to improve patients experience in line with the hospital targets.
•Support the Specialist or the Marketing Manager with any reasonable task that might be delegated.
•Ensure timeous submission of specialists monthly invoices to the Financial Manager.
•Doctors Secretarial/Office Administration Certificate.
•Marketing Certificate a preference.
•Project Management an Advantage.
•3+ years working experience, preferably as a Secretary to a Doctor/Specialist or Manager.
•Good Computer literacy and proficiency – MS Word, MS Excel, MS Outlook, MS Power point, SAP.
•Good minute taking.
•Strong organizational, administration and planning skills.
•Ability to work under pressure and longer hours when required, including weekends.
•Ability to use discretion while working with confidential information.
•Knowledge of medical terminology, COID,ICD-10 coding.
